Salesforce data storage calculator

Work out your org's data and file storage allowance, estimate what your records use, and see how long until you hit the limit. Based on Salesforce's own published rules.

Step 1Your edition and licenses
Each adds data storage, except on Essentials and Starter.
Step 2How many records you hold

Rough counts are fine. A report or the record counts on Setup → Storage Usage will give you them. Leave anything you don't use at 0.

Size varies with HTML; treated as 2 KB.
4 KB each
8 KB each
1 KB each
4 KB each
Step 3Growth and files (optional)
Counted at 2 KB each.
From Setup → Storage Usage, if you know it.
If you know it, this replaces the estimate from step 2.

How it works

Your allowance. Salesforce gives Enterprise, Professional, Group and Contact Manager orgs 10 GB of data storage plus 20 MB for each Salesforce or Salesforce Platform user license. Unlimited and Performance get 10 GB plus 120 MB per license. Essentials and Starter get 10 GB. File storage is 10 GB per org (1 GB on Essentials and Starter). Custom license types can differ; check with Salesforce.

What records use. Most records count as 2 KB, whatever is in them. The exceptions Salesforce publishes are person accounts (4 KB), Knowledge articles (4 KB), campaigns (8 KB) and campaign members (1 KB). Email messages are listed at 2 KB, though Salesforce notes the real size depends on HTML. Files, attachments, Chatter files and documents count against file storage, not data storage.

Going over. Salesforce says data storage limits are not strictly enforced in production, so the business keeps working, but you're outside your contract. Sandboxes do enforce them: creating records fails with a STORAGE_LIMIT_EXCEEDED error.

Price of more storage. Salesforce doesn't publish it; your account executive quotes it. That's why this tool doesn't guess a dollar figure.

Your real numbers are always on Setup → Storage Usage. Salesforce calculates usage in the background, so large imports can take a while to show up.

When storage is a symptom

An org that fills up fast is often carrying duplicates, years of old activity history, or a second org's data merged in without a clean-up. Buying more storage treats the symptom. If you'd like a second opinion on the org itself, MSquare Technology, our Salesforce partner, does data clean-up, archiving plans and org consolidation. MSquare pays Salter Growth when an engagement goes ahead; you pay us nothing.
