Procore and QuickBooks: what syncs, and what's still typed twice?

Pick your QuickBooks version and tick what you track in Procore. See what Procore's own connector moves, what it leaves for someone to re-key, and what that re-keying costs a year.

Question 1Which QuickBooks do you run?
Question 2What needs to get from one system to the other?

Tick everything your team keeps in both places today, whether it's synced or re-typed.

Question 3Are the projects already under way?
Question 4What does the double entry cost today? (optional)
Wage plus taxes and benefits.

What Procore's connectors cover

Does Procore integrate with QuickBooks? Yes. Procore has its own connector for QuickBooks Desktop and a separate one for QuickBooks Online, both run from Procore's ERP Integrations tool. They cover different things, and neither covers everything.

QuickBooks Desktop (2022 to 2024, Windows, U.S. and Canada; Pro, Premier, Enterprise and Accountant) works through Intuit's QuickBooks Web Connector, which has to stay running on the machine with QuickBooks on it. Procore sends cost codes, budgets, commitments, commitment change orders and subcontractor invoices into QuickBooks; projects, vendors and commitment payments go both ways; job cost totals come back. Prime contracts, prime contract change orders, owner invoices and payments, timecards, timesheets and expenses don't sync.

QuickBooks Online (Plus and Advanced) needs no Web Connector. Procore sends cost code and cost type combinations, subcontractor invoices and owner invoices; projects come from QuickBooks Online (create them there first); direct costs come back into Procore. Budgets, commitments, commitment change orders, prime contracts, owner invoice payments, timecards and timesheets don't sync.

Both work only on new projects; bringing in projects already running is a paid Procore services job. Neither fills QuickBooks' Class field. Procore doesn't publish a price for either connector.

Timesheets are the gap people feel most. A separate integration between Procore and QuickBooks Time, built by SyncEzy, brings approved timesheets into Procore (Intuit's listing says from $15 per team member). If that covers your need, you may not need anything custom.

When the gap is the expensive part

Decypher Corp, our custom software partner, builds the missing link: job-site time flowing to payroll, invoices generated from job data, one place for the numbers. A construction contractor founded in 1942 ran job-site reports on paper, then re-keyed them into payroll and invoicing. Decypher's tablet-based reporting system now feeds time straight into payroll and builds invoices from the job data: more than 35 hours saved across the business every week, including about 5 hours per foreman and 30 hours of back-office data entry (see the results page). Decypher builds a working prototype at its own cost before you commit. Decypher pays Salter Growth when an engagement goes ahead; you pay us nothing.
